POPIA Compliance Policy for Simpico Global Group (PTY) LTD (SGG)

1. Introduction

Simpico Global Group (PTY) LTD ("SGG") is committed to protecting the privacy and confidentiality of all personal information in compliance with the **Protection of Personal Information Act, 4 of 2013 ("POPIA")**.

2. Types of Personal Information Collected

SGG may collect and process the following information:

  • Clients: Names, contact details, addresses, identification details, payment/billing details, service history.
  • Agents/Staff: Names, contact details, ID numbers, employment records, financial/bank details, disciplinary records.
  • Leads / Prospects: Names, emails, contact numbers, company details, communication records.

3. Purpose of Processing

Personal information is collected and processed for the following purposes:

  • Providing inbound customer support services
  • Lead generation and appointment setting
  • Billing, invoicing, and payment processing
  • Recruitment, HR, and staff administration
  • Compliance with legal and contractual obligations

4. Storage & Security

  • Electronic records are stored in secure CRM/VOIP systems
  • Access is restricted to authorized personnel only
  • Data is protected by passwords, encryption, and secure cloud storage
  • Physical files (if any) are kept in locked cabinets with restricted access

5. Sharing of Information

SGG may share personal information only with:

  • VOIP, CRM, and IT service providers (under confidentiality agreements)
  • Regulatory bodies where legally required
  • Clients where required to provide contracted services

6. Retention of Information

  • Client & lead records: 5 years after last interaction (unless required longer by law)
  • Employee records: 5 years after termination of employment
  • Financial records: 7 years (as per Companies Act)

7. Rights of Data Subjects

Under POPIA, you have the right to:

  • Access your personal information
  • Request corrections or deletions
  • Object to the processing of personal information
  • Lodge complaints with the Information Regulator

8. Breach Notification

In the event of a data breach, SGG management will notify the affected parties and the Information Regulator within **72 hours**, as required by law.
